1. Overview
All registration cancellations and requests for refunds must be received in writing by email to the conference secretariat at [sime.conf@gmail.com]. Requests will not be accepted over the phone. The policy below outlines the deadlines and any applicable administrative fees.
2. Refund Eligibility Schedule
- Cancellation received on or before September 01, 2026:
- A full refund of the registration fee, minus a $75 administrative processing fee, will be granted.
- Accommodation package payments will be refunded in full, minus any fees charged by the hotel.
- Cancellation received between September 02, 2026] and October 15, 2026:
- A 50% refund of the registration fee will be granted.
- Accommodation package payments are non-refundable during this period unless the room is rebooked by the organizers.
- Cancellation received after October 16, 2026 or No-Shows:
- No refund will be granted for any fees paid. This includes registration and accommodation packages.
3. Special Circumstances
Refund requests due to exceptional circumstances (such as denied visa applications or medical emergencies) will be considered on a case-by-case basis upon receipt of supporting documentation (e.g., official visa denial letter, doctor’s note).
- Visa Denial: If your visa application is denied, a full refund of the registration fee (minus the administrative processing fee) will be granted upon receipt of the official denial letter from the embassy.
- Medical Emergency: In the case of a serious medical emergency preventing attendance, a refund may be granted upon receipt of a verifiable doctor’s note.
4. Accommodation & Additional Tickets
Refunds for pre-booked accommodation and social event tickets (e.g., gala dinner) for accompanying persons are subject to the same deadlines and policies outlined in Section 2. After the final deadline, these are non-refundable.
5. Transfer of Registration
If you are unable to attend, you may transfer your registration to another person from the same organization upon written request to the secretariat. Transfers requested after October 15,2026 may incur a processing fee.
6. Force Majeure
The conference organizers are not responsible for any loss or damage as a result of a substitution, alteration, cancellation, or postponement of the event. The organizers shall assume no liability whatsoever if this event is altered, rescheduled, postponed, or canceled due to any act of God, war, fire, riot, lockdown, pandemic, strike, or any other cause beyond its reasonable control.
7. Refund Processing
All eligible refunds will be processed within 30 business days after the conclusion of the conference and will be issued to the original payment method. Bank transfer fees may be deducted from the refund amount.
